How does an AI receptionist book appointments?

It works like a trained front-desk person with your calendar open. The caller asks for an appointment; the receptionist asks what it's for, checks which slots fit that type of appointment, offers a couple of options and books the one the caller picks. The receptionist reads the details back to the caller, and the booking appears in your calendar straight away.

Your rules, applied every time

During setup we write your booking rules with you, so the receptionist never books something you'd have said no to:

  • Appointment types and lengths: a 30-minute consultation, a 90-minute colour, a two-hour service window.
  • Who does what: which staff member or room offers which service.
  • Buffers and lead time: time between appointments, and how soon or how far ahead people can book.
  • Protected time: slots held for emergencies, walk-ins or existing clients.
  • Questions before booking: new or returning, address, vehicle, pet's name, insurance provider, whatever you need.

Rescheduling and cancellations

Callers can move or cancel their own appointments by phone. The receptionist finds the booking, offers new times and updates your calendar. Freed-up slots become available to the next caller, which helps keep your schedule full.

Calendars and booking tools

When a booking needs a person

Some appointments need judgement: a complex job, a new client consultation, an unusual request. For those, the receptionist can take the details and a preferred time, and send you a summary to confirm, rather than booking directly.

Can it book with different staff members?

Yes. We set up which people or resources offer which services, and the receptionist only offers matching slots.

Will it double-book me?

It books against your live calendar availability, so a slot taken in your calendar isn't offered to callers.

Does the caller get a confirmation?

Yes. Before ending the call, the receptionist confirms the date, time and any details you want mentioned, such as your address or preparation instructions. If your booking tool sends its own confirmations, those still go out as usual.

Can it take deposits?

Not over the phone. If your booking tool takes deposits online, the receptionist can point the caller to your online booking page instead.
